Position Title: Advancement Data Assistant (Part-Time, Temporary)

About: The Asian Cultural Council (ACC) advances international dialogue, understanding, and respect through cultural exchange activities in Asia and the United States to create a more harmonious and peaceful world. The mission is accomplished through fellowships and other programs that support individual artists, scholars, and arts professionals.

In 1963, John D. Rockefeller 3rd established the Asian Cultural Program of the JDR 3rd Fund to support cultural exchange in Asia and the United States through grants to individuals and organizations working in the visual and performing arts. In 1980, ACC was established as a 501©3 nonprofit to continue the work of the Asian Cultural Program. Since then, ACC has enabled more than $100 million in grants to support cultural exchange. To date, ACC has supported nearly 6,000 exchanges across 26 countries and regions in 16 artistic disciplines.

As a grantmaking and grant-seeking organization, ACC raises funds from individuals, foundations, and corporate donors. ACC also convenes arts leaders, fostering dialogue around the importance of cultural exchange in developing understanding and respect across international and cultural borders. Fellowships to individuals include not only grant funds to cover the costs of international travel, per diem, and research activities, but also substantial program support in the form of professional guidance, introductions to artists and other cultural leaders, and logistical assistance.

Position Summary: The Asian Cultural Council is seeking a skilled and detail-oriented Advancement Data Assistant to join our New York-based team.

The Advancement Data Assistant will assist with development database maintenance, in order to ensure data hygiene and to prepare for upcoming database migration. This opportunity is best suited for someone with meticulous attention to detail who can quickly learn new database systems. The Advancement Data Assistant will report to the Development Specialist and will play a key role in ensuring the development team has access to accurate data for donor stewardship and event planning. The Advancement Data Assistant will be primarily responsible for merging duplicate records, importing event data from previous years, cleaning up constituent and transaction records, and ensuring data is accurate and consistent between the development database, external files and the email marketing tool.

Compensation and Schedule:
The compensation for this position is $25/hr and this role is temporary and part-time. This position is for a maximum of 20 hours per week, for a duration of approximately 9-12 weeks. As a part-time position, this role is not eligible for full-time benefits.

ACC’s New York staff are currently on a hybrid schedule; this role is expected to be performed on-site at the New York office, between the hours of 9AM to 5PM, with a possible option of up to one day remote after training. In-office days should align with the Development team’s in-office days of Monday, Tuesday, and/or Thursday.

Responsibilities:
-Assist in reviewing and improving data hygiene across development and communications platforms, with guidance from both the Development Specialist and the Marketing and Communcations Manager.

-Maintain cleanliness, robustness, and accuracy of CRM data in preparation for database migration.
-Perform data entry with meticulous attention to detail.
-Complete large-scale data cleanup projects, including:
-Reviewing and correcting gift allocation data for previous donations;
-Performing bulk data uploads as needed;
-Uploading historical event data, including guest bios, RSVPS, and final event attendance;
-Merging and cleaning up duplicate constituent records;
-Reviewing and correcting household data for consistency and accuracy;
-Reviewing constituent and donation records to ensure all data is accurate, consistent, and reportable; and
-Updating records as needed, including contact information, historical and relationship data, and record tags.
-Other duties as assigned.

Requirements

Skills and Abilities:

-Proficiency in data management
-Strong attention to detail with project management skills and the ability to prioritize and manage multiple projects and deadlines at a time.
-Aptitude for repetitive data entry tasks.
-Exceptional interpersonal, verbal, and written communication skills.

-Ability to exercise discretion and excellent judgement in handling sensitive information.
-Previous experience in development CRM databases preferred.

Education, Experience, and Knowledge:

-2-4 years work experience; development or database management experience a plus.
-Experience with arts and cultural organizations and/or international organizations is a plus.
