Reporting to the President of AAAinA and working collaboratively with Director of Programs, Collection, and Exhibitions and AAA staff in NY, Hong Kong, and Delhi, including a senior development advisor, the Manager of Operations, Development and Finance will be an integral part of the AAAinA team and a crucial thought partner, ensuring that AAAinA aspires to the highest level of professional management, while offering the most relevant and the highest quality programming and collections in furtherance of AAAinA’s mission. Working at all times with generosity, integrity, curiosity, creativity, and respect, the Manager of Operations, Development, and Finance will focus primarily on:

  • Operations: ensuring the effective and efficient administration of all aspects of AAAinA’s activities, including management of all daily office and reading room operations in coordination with the Director of Programs, Collections, and Exhibitions. Supporting program staff in the development of internal/external communications, including on the website, newsletters, program announcements, and social media posts. Ensuring all external communications are clear, well-written, and properly edited. Supporting the President in administrative tasks, such as the preparation of external presentations, correspondence, scheduling, and the organization of the semi-annual Board meetings and all related materials.
  • Development: overseeing all development activities with the senior advisor, including management of 4-5 government and foundation grants, individual patron cultivation and retention; annual year-end appeal campaign, End with a Book! celebration in December, and Spring fundraiser, as well as 4-6 patron-oriented programs a year. Being a proud and positive representative of AAAinA at community and cultural events which you are encouraged to attend; and working at all times to help build and strengthen our community of individual and institutional friends and supporters.
  • Finance: With the support of outside legal, accounting, and professional bookkeeping services, ensuring all financial transactions, including payments to vendors and employees and recurring subscriptions, are properly executed and accounted for; developing and monitoring annual operating budgets, including programming budgets. Ensuring compliance with legal requirements and coordinating the annual tax filings, in conjunction with the external bookkeeper, accountant, and AAAinA President.

Requirements

Qualifications:

  • 3-5 years of demonstrated and strong experience in nonprofit administration
  • Serious interest in contemporary art and Asia, and a desire to learn and achieve excellent results.
  • Excellent interpersonal and communication skills, including the ability to be consistently gracious, diplomatic, and professional with all levels and locations of AAAinA staff, Board members, donors, visitors, audience members, speakers, and other counterparts and collaborators at organizations outside AAA.
  • Excellent organizational skills, attention to detail, and quality of results.
  • Experience with grants, both grant writing and management.
  • Experience with budget development and management.
  • Comfort with and even a happy embrace of numbers and Excel spreadsheets
  • Ability to work under pressure, multitask, prioritize, set goals, and meet them in a timely manner.
  • A self-starter able to work independently with minimal supervision
  • Fluent in written and spoken English (Asian language proficiency always a plus)
  • Strong computer proficiency, including Microsoft Office Suite (Excel, PowerPoint, Word), Adobe Creative Suite, and G Suite. Experience with Quickbooks or other accounting software is a plus.
  • Advanced degree in a related field preferred: Asian art history, library science, business/cultural management.

Requirements:

  • The Manager of Operations, Development, and Finance is a full-time, in-person position, with one day of work from home (preferably Mondays) and event attendance on occasional evenings.
  • Must be eligible to work legally in the United States.
  • Start date ideally by early July.

Salary: $62,000 (including healthcare and paid sick days), commensurate with qualifications and experience.
