Advance NYC is currently seeking a full-time Institutional Giving Operations Associate.

The Institutional Giving Operations Associate will work closely with Advance NYC’s Institutional Giving Department leadership team to develop and implement systems and solutions to support Department efficiency and workflow, as well as providing direct administrative support for the Senior Director of Institutional Giving . While this individual will primarily work internally within the Department, they will also assist the Senior Director in managing some direct client engagements as needed.
This is a partially remote position: while Advance NYC operates in a virtual office, this position requires in-person attendance as needed for select client meetings, internal meetings, and other related tasks in the NYC metro area. All in-person interaction is carefully evaluated by participating parties, and a dynamic COVID policy is in place to address appropriate safety precautions. Advance NYC’s office hours are generally 10AM - 6PM EST Monday-Friday with the occasional night or weekend, but they are open to exploring a more flexible schedule for the right candidate.

Compensation:

The salary range for this full-time (40 hours) position is $55,000 - $65,000 annually, with salaries starting at $55,000-$60,000, commensurate with experience, for new hires. Advance NYC provides generous contributions toward health and dental insurance, paid vacation time and sick time, paid holidays, 401k program, a stipend for home office equipment, and competitive parental and family leave. All team members are eligible for remote and flex time, to be determined on a case-by-case basis.

Requirements

The responsibilities of this role include:

Direct Support for Senior Director of Institutional Giving

  • Providing overall administrative support for the Senior Director, including but not limited to calendar and schedule management, project/task management, communications drafting, etc.
  • Taking part in client and new business calls and Zoom meetings, including scheduling, drafting agendas, taking minutes, sending action items, and coordinating follow-up
  • Working with Senior Director to build out new systems to support overall department growth

Institutional Giving

  • Maintaining funder information in Advance NYC’s proprietary internal grants management database
  • Preparing and drafting work plans for grant applications/proposals and reports
  • Conducting prospect research and maintaining prospect profiles for the department

General Department Support

  • Approving timesheets and tracking vacation requests, creating agendas for weekly team meetings, tracking department receipts
  • Maintaining internal documents and systems (Time IQ, Google Drive, Asana, and custom database)
  • Tracking current client engagements and overall department capacity
  • Fielding questions about internal operations (time tracking, policies & procedures, etc)
  • Other duties as needed

A successful candidate will have some combination of the below experience and skills:

  • Natural inclination to be proactive in task management and problem-solving. The Institutional Giving Operations Associate will take ownership of projects and move them forward, while managing up to the Senior Director
  • Direct non-profit experience in a role/roles involving administrative and/or fundraising responsibilities (familiarity with foundation/government grant-making is preferred but not required)
  • Ability to communicate clearly, concisely, and professionally—both verbally and in writing—as well as strong interpersonal skills
  • Ability to efficiently manage several projects simultaneously while prioritizing and planning work activities to meet respective deadlines; strong organizational and time-management skills are key
  • Experience working in CRM databases such as Raiser’s Edge, Salesforce, Patron Manager, and Ovationtix
  • Experience working with budgets, Excel spreadsheets, PowerPoint/Google Slides presentations
  • A growth mindset and a habit of curiosity

Essential for performing this role:

  • Proficiency in Microsoft Office and Google Suite
  • Ability to work remotely, which includes access to a phone, computer, and reliable internet
  • Ability to travel to in-person all-staff meetings 5-6 times/year and other in-person meetings as needed in the NYC metro area
