The Gallery & Media Assistant fills a crucial role in supporting day-to-day operations at the gallery. This role fields general inquiries from the public, maintains the gallery’s flow of physical and digital media assets, and implements a high level of detail and organization to ensure that activities and functions run smoothly across the gallery.

Key Responsibilities:
• Manages all incoming and outgoing emails from the general gallery account, which includes sorting, prioritizing, and directing inquiries for press, sales, visits, general inquiries, et al.
• Oversees the inventory and maintenance of the gallery’s physical (in-gallery and off-site storage) and digital media archives, in addition to the general administrative filing system
• Assists with maintaining and updating the gallery’s website and email platform, including data entry, drafting and sending emails using Mailchimp
• Processes all incoming and outgoing media (such as images) and press for artists and exhibitions at the gallery according to workflow, including longterm file storage and input into inventory
• Produces exhibition/art fair ephemera (checklists, press kits, and signage) for the gallery and sends press releases for translation
• Produces dossiers for press and sales according to workflow, using pre-designed templates and a style-guide
• Effectively communicates and manages timelines for their own tasks and projects as they pertain to larger gallery activities and operations
• Maintains artists’ bios, CVs, and related press on a regular basis
• Greets visitors to the gallery, and answers the phone
• Ensures that the office is fully stocked and organized with necessary supplies
• Uses project management platform to track longterm and immediate tasks across the gallery
• Assists with openings and occasional events

Work Environment:
They are a small, tightly-knit team. The position is based on-site, at our second floor gallery in Lower Manhattan, which is accessible by stairs and elevator.
They are seeking to fill this position immediately, which will include a three-month probationary period.
Salary Range: $50–60,000 (pay commensurate with experience)
Schedule: Full time; Wednesdays–Saturdays, 10 AM–6 PM, flex-days on Tuesdays; occasional evenings required
Benefits: Two weeks of paid time off per year, holidays, health insurance, and lunch on-site

Requirements

• At least two years of professional administrative experience within a fine art or gallery setting
• Fine attention to detail and strong time-management and organizational skills
• Experience in Adobe Photoshop, Indesign, and Acrobat, Apple OS X, Microsoft Office, Dropbox and/or similar file management platforms
• Experience building and sending emails using an email marketing platform
• Familiarity with content management systems for maintaining websites, and fluency in various media file types
• Strong desire to work and grow their experience in a commercial gallery setting, and behind the scenes as an arts administrator
• Demonstrated awareness, experience, and competence in working within a diverse, multi-racial, multicultural, and socio-economic environment
• A quick and flexible learner, with strong communication skills
• Ability to work independently, but not afraid to ask questions or for help; a resourceful team-player
• Proven project management experience is a huge plus
