The Lark is Hiring a Part-Time Executive Assistant! All applications are due by midnight on February 24, 2020.

This is an entry-level, 25 hours per week position that will report to the Artistic Director. You may be interested in this position if you are beginning a career in arts administration or arts leadership and/or if you are looking for a position that provides the opportunity to learn more about how a nonprofit works and how the artistic, administration, and social justice fields intersect. It could be a great position for someone who enjoys a balance of organization, detail management and in-the-moment nimbleness. The Executive assistant will work closely with Artistic Director and the job will primarily take place during The Lark’s business hours of 10am-6pm Monday-Friday. It will require a somewhat flexible remote working schedule to respond to travel changes and important requests as necessary.

Requirements

-Manage Artistic Director’s correspondence including emails, voicemail and mail. This piece of the job will involve being a first line of communication between the Artistic Director and the rest of the community (staff, artists, board, donors, etc.). The management of correspondence will involve regular communication via email, phone, and in person meetings.

-Manage Artistic Director’s schedule

-Manage Artistic Director’s priorities and work plan

-Write Stuff. This job will involve the drafting of letters, statements, and updates to the board and other Lark stakeholders.

-Make purchases and submit receipts and paperwork for processing.

-Interface with the Board of Directors. With support of the Artistic Director lead board-related administration, including scheduling, meeting preparation, logistics and engagement with the Trustees.

-Aid in the administration and forward movement of board engagement, artistic advocacy, donor cultivation, and other organizational priorities and projects led by the Artistic Director.

-Work with the Fundraising Team to manage the logistical and practical aspects of the Artistic Director’s development tasks to ensure that deadlines are met and that meetings and correspondence with donors is reported.

-Book and Prep Artistic Director’s travel including domestic and international travel.

-Be a part of The Lark team by participating in staff meetings, staff retreats, and celebrations, and serving the mission and values of The Lark through these responsibilities

WHAT YOU SHOULD ALREADY KNOW:
-How to communicate clearly. Much of this job will involve being a liaison between the Artistic Director and other members of the community, so good communication skills are important. Clearly and efficiently responding to inquiries, having sensitivity and discretion regarding confidential information, and a comfort engaging with artists, donors, and other community members are important to the job.

-How to efficiently manage administration tasks. This job will entail working in Gmail, Google Calendars, Microsoft Word, and Excel on a regular basis. It will also involve working in the database Patron Manager which we can provide training in.

-How to confidently, flexibly, and kindly manage others’ time. This job will involve organizing the tasks and priorities of the Artistic Director. These tasks can change daily and come from a variety of community members.
The organization relies on the Executive Assistant to assist the Artistic Director in the logistical and practical aspects of meeting deadlines and staying reliable.

-That you share the values of equity, access and inclusion.
