Associate Programs Administrator
Reports to: Director of Programs, Learning & Engagement
Classification: Part-time; non-exempt, temporary
Salary: $32/hour for 21 hours per week through 30 June.
Benefits: This position is not eligible for benefits beyond New York State Safe & Sick leave.
Location: Hybrid work schedule with the expectation of attending weekly in-person staff meetings at the office space in Brooklyn, plus additional in-person work as required to carry out the duties of this position . BAC’s hybrid work schedule is subject to change and employees are expected to be available in person during working hours as required.

Position Overview

They are looking for a temporary Associate Program Administrator to support the daily operations and execution of creative learning & public programs; handling tasks like scheduling, communication, data management, budget tracking and event coordination and serving as key support for program staff.

This position requires strong organizational skills and a highly detail-oriented mind to ensure smooth program delivery and is a great opportunity for a creative administrator with 2+ years working in arts administration or a similar setting.
This role will report directly to the Director of Artistic Programs, Learning and will support in three key programs areas:

Responsibilities

Creative Learning
•Support the Creative Learning team in the management of our database systems for 100+ site partners and our roster of 50 + teaching artists, assisting with program implementation.
•Support the Creative Learning team in preparing and managing contracts, agreements, reports, and paperwork, and processing supply orders and reimbursements.
•Create and support the management of program calendars and schedules.
•Support with scheduling and manage logistics for professional development sessions & creative learning events
•Support with tracking, gathering, and compiling data for funder reports.

Cultural Heritage
•Support Monthly Cultural Heritage Advisory group meetings with scheduling, reminders, note-taking and follow ups.
•Organize logistics for in-person workshops and events.

Brooklyn Arts Awards
•Support the Director of Artistic Programs and Production consultant with project management, planning and implementation of their signature Creative Cohort celebration in May.

Requirements

Required skills & experience:

•Proficiency in office software (Outlook, Microsoft and Google suites, Excel, Zoom, Asana and Airtable).
•Excellent written and verbal communication skills.
•High attention to detail & administration skills
•Strong organizational skills and a desire to support teams to serve artists with greater capacity and efficiency.
•2+ years working in arts administration or a similar setting.
•A desire to support & an interest in arts & culture & the diverse range of Brooklyn communities they serve.

This is a part-time temporary position through the end of June. They are looking for someone who is available to start as soon as possible. They will be joining the team in the middle of a programs cycle and they are looking for someone who is not afraid to roll up their sleeves, dive in & get their feet wet.
