Reporting to the Director of Programs, Collections, and Exhibitions, the Programs and Collections Coordinator will work with the AAAinA team to ensure the organization offers the most relevant and highest quality programming, collection, and all other related activities. Working with generosity, integrity, curiosity, and respect in furtherance of AAAinA’s mission, they will primarily focus on the following:

Communications

  • Support the development and maintenance of the website, social media, and newsletter, including tracking deadlines, assets, and approvals.
  • Writing clear, on-brand copy (captions, headlines, post text) tailored to each platform.
  • Ensuring all content aligns with brand style and messaging guidelines.
  • Completing light image editing (resizing/reformatting for various platforms).
  • Tracking basic performance metrics and surfacing insights to inform future content.
  • Maintaining the archive of program documentation by uploading and editing video recordings and preparing written transcriptions for AAAinA’s website and social media.
  • Updating the calendar of community events on AAAinA’s “Beyond” page.

Collections

  • Supporting the expansion and maintenance of the AAAinA reading room collection through targeted acquisitions, processing material donations, cataloging, shelving, and general upkeep of our physical collection and digital catalog.
  • Coordinating reading room research appointments.
  • Assisting researchers with requests for access to our digital collections and on-site physical collections.
  • Conducting periodic analyses of our collections to make sure they align with content priorities and researcher needs.
  • Assisting in private and public workshops on how to use AAAinA’s collections.

Programs

  • Being an enthusiastic and energetic representative of AAAinA, attending community cultural events, and actively helping to expand our network of friends, supporters and collaborators.
  • Supporting the development of AAAinA’s programming, including public, private and patron events, by actively participating in the brainstorming, research, information gathering, and coordination of meetings with potential partners, panelists, and speakers, in order to plan and confirm the programming calendar.
  • Assisting program preparations and day-of execution, including setup, tech checks, audience check-in, and photo documentation and recording.
  • Providing general administrative support as needed.

Requirements

Qualifications:

  • Excellent verbal and written communication skills with experience writing copy for communications materials at an arts organization.
  • Experience with newsletter, website, and social media platforms (Mailchimp, WordPress, Eventbrite, Vimeo, and Instagram preferred).
  • Strong computer proficiency, including Microsoft Office Suite (Excel, PowerPoint, Word), Adobe Creative Suite, and Google G-Suite. Experience with Premiere Pro, or other video-editing software, is a plus.
  • Excellent organizational skills and attention to detail and quality of results; experience in cataloging or working with collections preferred.
  • Abiding interest in and experience with contemporary art and Asia, and a desire to learn more about this field.
  • Excellent interpersonal skills, including the ability to be consistently gracious, diplomatic, and professional with all levels of staff, Board members, donors, visitors, audience members, speakers, and other external counterparts and collaborators.
  • Ability to manage multiple projects, multitask, prioritize, set goals, and meet them in a timely manner.
  • Fluent in written and spoken English (familiarity and fluency with other Asian languages are a plus).

Requirements:

  • Part-time (3 days a week), in person, from Wednesday–Friday, 9:30 am to 5:30 pm.
  • Occasional weeknights and weekends.
  • Must be eligible to work legally in the United States.
  • Start date as soon as possible, ideally by December.

Salary Range

Salary range: $20 to $25 (Hourly). Commensurate with qualifications and experience.
