The Wilma Theater is seeking a Facilities Operations Manager.

Position Summary

The Facilities Operations Manager reports to the Managing Director and has primary responsibility for maintenance of facilities at the Wilma Theater on Broad Street, an off-site studio space, and two off-site storage facilities including budgeting, contracting, and departmental management. This position will communicate regularly with management, landlords, renters and outside vendors to ensure that each of the locations under Wilma management is maintained and operates at a high-quality and safe level, meeting budget goals.

Responsibilities

  • Lead hybrid team of COVID Safety Manager and IT and Data Associate
  • Regularly collaborate with Business Manager on operational activities
  • Manages departmental budget and customer and vendor relationships, including planned capital expenses
  • Prepare, maintain, and ensure that preventative maintenance plans for the facilities and equipment are in place and being performed correctly
  • Manage facilities and custodial procurement, bids and other vendors utilized to complete facility needs; ensuring cost efficient and effective services
  • Accountable for the maintenance of organization’s facilities training compliance and overall state of facilities audit readiness; including coordinating with the Theater’s key stakeholders
  • Monitor the cleanliness and safety of facilities, both interior and exterior.
  • Manage priorities for improving and maintaining the safety and security of the facilities, including conducting organizational safety training as necessary
  • Schedules, coordinates and oversees all outside contractor needs related to facilities upkeep and maintenance.
  • Regularly reports status and manages maintenance plans of all building infrastructure and systems including, but not limited to, HVAC systems, technical wiring, lighting and other building issues to senior management and staff, through on-site inspections
  • Maintain records of facilities improvements and maintenance, to include drawings, warranties and projected needs
  • Manage facility calendars and space booking/rental process and contracting, including external renters and internal communications on space usage to staff
  • Coordinates housing accommodations for artists and other guests of the Theater, as needed

Requirements

Position Qualifications
The ideal candidate is proficient in remote-work software and systems, with the ability to learn the Wilma’s data systems, including Microsoft 365, Bill.com, project management and video conference tools. Strong candidates possess good analytical and problem-solving skills. The ideal candidate will possess and demonstrate a high level of customer service, understanding of the importance of exceeding the organization’s and customers’ expectations. The Facilities Operations Manager typically works a 40-hour week during regular business hours (Monday – Friday, 10 am – 6 pm), but will also be required to work early mornings, evenings or weekends to oversee projects or to respond to emergencies. A flexible work schedule will be permitted to allow the Facilities Operations Manager to vary their daily arrival and/or departure times.

Ideal Qualifications
Ideal qualifications include certifications pertaining to facilities management and safety, including, but not limited to First Aid, CPR, ADA Coordinator Training Certificate, and OSHA safety.

Physical Demands
Occasional to frequent lifting of light to heavy objects; full range of body motion and physical agility to meet needs of facilities management.

Travel requirements
Frequently within the Philadelphia region and rarely outside of the Philadelphia area.

Compensation and Benefits
This is a full-time, exempt role with compensation in the high $40,000s to low $50,000s.

COVID-19 Update and Work Environment
Due to Covid-19, the Wilma administrative staff is currently working in a hybrid (remote and in-person) environment. Due to the nature of this position, the work will primarily be conducted on-site and in person, with some administrative work permitted to be conducted remotely.

Beginning April 1, 2022, every employee of The Wilma Theater, whose work requires their physical presence on-site at spaces managed and operated by The Wilma Theater must be fully vaccinated and boosted for COVID-19.
