Assistant to the Artistic Director

Organizational Summary:
Playwrights Horizons is a writer’s theater dedicated to the support and development of contemporary U.S. playwrights, composers and lyricists, and to the production of their new work.

Reports to:
Artistic Director

Position Summary:
The Assistant to the Artistic Director is a full-time non-exempt position that organizes the Artistic Director’s schedule and provides administrative support to the Artistic team. This position organizes meeting agendas, and maintains effective and ongoing communication between the artistic staff and the community, both within the organization and externally.

Duties & Responsibilities:
Coordinates Artistic Director’s schedule for internal and external events, weekly artistic staff meetings, and proactively ensures the calendar is followed and respected; greets visitors as they arrive
Manages the Artistic Director’s departmental budget; tracks and reports departmental expenses; and processes reimbursements; schedules and books travel and travel arrangements for the Artistic Director
Maintains Artistic Director’s short-term and long-term commitments and responsibilities, and recommends course of action, referral or response accordingly
Manages the Artistic Advisory Council program, maintains correspondence between artistic staff and council members, schedules meetings and takes notes
Communicates directly with individual board members, major donors, corporate executives, consultants, and other key stakeholders, to maintain the artistic director’s relationships and serve as a resource in these interactions
Provides phone and email coverage for Artistic Director, authoring correspondence on his behalf as directed
In collaboration with artistic staff, schedules and organizes meetings with artists and partners
Assists in the organization and planning of special events
Assists the Artistic Director and literary staff in the tracking and maintenance of any submitted materials
Organizes digital files on the company Google Drive for the artistic staff
Schedules the staff meetings and department head meetings
Submits receipts and completes the monthly reconciliation for the Managing Director’s Amex card
Draft press quotes, grant narratives, letters of recommendation and other correspondences for Artistic Director. Proofread and copy edit materials, as needed
Perform other duties, as needed, as assigned by the Artistic and Associate Artistic Director, with keen attention to detail and a particular focus on meeting deadlines

Skills & Qualifications:
2+ years of administrative assistant experience
Excellent written and verbal communication skills and interpersonal skills
Detail-oriented and organized; strong ability to multitask
Working knowledge of Microsoft Excel and Microsoft Office Suite
Proficiency in Google Workspace, Slack, and a Google Workspace

Compensation:

Salary: $45,000
