The Producing Operations Manager acts as the frontline artist services representative for all Fisher Center productions and presentations (including Bard SummerScape and Bard Music Festival), touring projects, residency projects, special events, rentals, co-productions, and partnership programs. The position also oversees the contracting and information management of all Fisher Center programming. In the summer season, the Producing Operations Manager leads a team of seasonal company management staff, in concert with the producers. 

The Producing Operations Manager reports to the Fisher Center’s Director of Artistic Planning and Producing and works closely with the SummerScape Opera Producer, Associate Producer, and General Manager. 

While some duties may be performed remotely, this position will require on-site and physical presence at the Fisher Center.

RESPONSIBILITIES

ARTIST SERVICES

  • Serve as the primary artist services and company management representative for all projects for the Fisher Center, developing an artist-centered, hospitality-minded, safe, and comfortable environment for all visiting and resident artists, crew, and staff. 

  • Oversee the arrangements for travel, lodging, meals, local ground transportation, and hospitality.

  • Oversee the arrangements for special programming events, including first rehearsals and opening nights.

  • Create and distribute itineraries, welcome packets, and other resources.

  • Arrange and manage off-campus rentals, including cleaning, supplies, and relationship with the property managers.

  • Coordinate with outside vendors and campus departments.
  • Coordinate ticket requests as needed

  • Lead and supervise the Company Management department and operations for SummerScape, in concert with the producers. 
CONTRACTS & FINANCE
  • Oversee, in coordination with the General Manager, expenses and budget tracking for the Producing department and all projects/productions; reconcile monthly credit card statements. 

  • Track all personnel details. 

  • Draft, execute, and track contracts and appointment letters.

  • Coordinate collection of W9 or appropriate Bard HR paperwork from vendors, contractors, and employees; generate check requests for producing-related payments.


PROJECT MANAGEMENT 

  • Provide administrative and logistics support to the Director of Artistic Planning and Producing and the General Manager; support auditions, rehearsals, residencies, workshops, master classes, and guest lectures, special events, and productions as needed and assigned. 

  • Communications and Documentation: with the Producing Coordinator, work with the Fisher Center Marketing team to facilitate the flow of project information and materials for project marketing and communications; arrange logistics for project documentation and collateral (photography, video, program notes, etc) for all Fisher Center projects. 

  • Rentals: serve as the point of contact for all current and prospective rental clients; field rental inquiries; research and implement rental outreach and partnerships; prepare rental cost projections and settlements; ensure the fulfillment of contract terms on both sides; facilitate timely and complete contracting process in collaboration with the General Manager; coordinate rental needs and schedules with other departments; serve as the venue’s representative before, during, and after the rental period.

  • General: attend weekly production meetings and staff meetings; complete other duties as assigned. Work on evenings and weekends is required.

QUALIFICATIONS



  • Ability to work well under pressure in a team-driven environment.

  • Exceptional organization, hospitality, and problem-solving skills.

  • Outstanding communication skills, superior attention to detail.

  • At least 5 years professional work experience, preferably in arts administration, producing, company management/artist services, or similar roles.

  • Appreciation and knowledge of the multi-disciplinary arts community domestically and abroad is a plus.

  • A welcoming demeanor and positive attitude are a must. 

  • Ability to be flexible, have an all-hands-on-deck attitude, and possess a willingness to jump in to handle high-priority tasks.

  • Valid driver’s license and access to a vehicle and/or ability to travel reliably locally are preferred.

  • Must be available for some evenings and weekends, as needed.

  • Proficiency with Google Suite (Sheets, Docs, shared Drives, Calendar) and Microsoft Office (specifically, Word and Excel).

This is a full-time, exempt position eligible for Bard College’s group benefits package, compensated at an annual salary range of $55,000 - $60,000, depending on experience.
